AI for accountants that ends the month-end paper chase.
We build agents that collect your clients’ receipts and invoices from email, photos and portals, read every field, check the arithmetic and prepare the entries in your accounting software. What is missing gets a drafted reminder. You review, approve and sign, as you do today, with far less typing.
- Receipts read
- Bank lines matched
- Missing documents chased

What AI for accountants handles today
AI for accountants works best on the paper chase around the ledger: sorting what clients send, reading invoices and receipts in any layout, matching them to bank lines, suggesting the account and the tax code, and listing what is still missing. Each suggestion carries its source document, and nothing is posted until someone in the firm approves it.
Your production software already does the accounting. It cannot read the photo of a restaurant receipt, and it will not write to a client for the third time about the March statement. An agent fits there, between the inbox and the ledger.
Judgment and signature stay with the firm. What moves is the time: the hours your juniors spent keying go to reviewing files and to the advisory work clients are willing to pay for.
What your team says every month-end
- Receipts arrive as phone photos, or all at once in a shoebox.
- We send the same reminder for the same missing statement every month.
- Juniors spend their first year keying invoices instead of learning the job.
- A wrong VAT amount slips through until the review, and then everyone searches for it.
- The busy season means evenings and weekends, every single year.
Where an accounting firm starts with AI
Four tasks that come back every month, in every client file. Each one ends in your review queue.
01
Collect and sort client documents
Emails, portal uploads and photos are gathered per client and per period, named, deduplicated and filed where your team expects them.
AI automation02
Read and check every invoice
Supplier, dates, lines, totals and tax are read in any layout. The arithmetic is recomputed by plain code, so a wrong total or a mismatched VAT amount is flagged before anyone books it.
Invoice processing03
Prepare entries and match the bank
The agent proposes the account, the tax code and the matching bank line, with the source document attached, and leaves the entry in your software for approval.
Document AI04
Chase what is missing
At month-end it lists the gaps per client and drafts a short, specific reminder. A person sends it, or approves the batch.
AI agents
AI for accountants, through the firm’s year
The workload of an accounting firm follows a calendar. At each deadline, what piles up, what the agent prepares and what stays with the accountant.
| Period | What piles up | What the agent prepares | What the accountant keeps |
|---|---|---|---|
| Every week | Receipts and invoices sent by email, portal upload and phone photo | Documents filed per client and period, read and checked | Corrections on any misread document |
| Month-end | Bank statements and missing receipts | Bank lines matched, entries proposed, a list of gaps per client | The approval of each entry |
| VAT return period | Invoices whose tax amount does not add up | Those invoices at the top of the queue, with the recomputed amount next to the printed one | The return and its signature |
| Year-end close | Open items, accruals and supporting files | The list of open items, each with its documents | Adjustments and the accounts themselves |
| Busy season | Every client at once, evenings and weekends | A short, specific reminder for each missing document | Which reminders go out, and every client conversation |
| New client | Documents to gather before the first period | A checklist of what to collect, chased until it is complete | The engagement letter and the decision to take the client on |
Illustrative scenario
Sophie opens her review queue with the month already sorted
A small accounting firm, a few hundred client files, and a month-end that used to start with a day of sorting. This scenario shows where the agent takes over and where Sophie stays in charge. It describes no real firm. The live demo lets you test the reading and checking step on fictional invoices.
Open the live extraction demo: two of its three fictional supplier invoices hide an error, a wrong VAT amount on one and a wrong line total on the other. Watch the server catch both.
- Receipts and invoices arrive by email, portal and phone photo, and land in the right client file.
- Each document is read field by field, and the totals and tax are recomputed by code.
- An invoice whose VAT does not add up goes to the top of the queue, with the difference shown.
- Proposed entries wait in the accounting software, each with its source attached.
- Sophie approves, corrects or rejects, then sends the reminders the agent drafted for missing documents.
Client confidentiality and the accountant who signs
- Confidential client information needs a contract or consent. The AICPA’s Confidential Client Information Rule bars disclosure without the client’s specific consent, and its interpretation on third-party service providers asks for a confidentiality agreement or that consent. We sign the agreement, and we host where you decide.
- Tax return information is its own case.In the United States, Section 7216 of the Internal Revenue Code makes it a misdemeanor for a preparer to knowingly or recklessly disclose or misuse return information. Tax files stay out of scope until your counsel confirms the setup.
- Nothing is posted without a person. Each entry waits for someone in the firm, and keeps its source document and the name of whoever approved it. That trail is what a file review looks for.
- Your data stays where you put it.Models hosted in Europe or on your servers, with terms that exclude training on your data. In the EU, GDPR applies to every client file we touch, and the data map is settled before the first line of code.
Accounting firms: your questions
Does it replace our accounting software?
No need. The agent works around the software you already use: it reads documents, prepares entries and leaves them there for approval. When a tool has no connection, we build one.
Can it post entries on its own?
Only if you decide so, and only for the rules you set, such as a recurring supplier under a fixed amount. By default every entry waits for a person, with its source document attached.
What if it misreads a receipt?
The totals and tax are recomputed by plain code, and low-confidence fields are flagged. A misread document ends up in front of a person instead of in the ledger. The document and the field sit side by side, so the correction is quick.
Is client data used to train AI models?
No. We use business terms that exclude training, or models hosted in Europe or on your own servers. You choose, and it is written in the contract. The data map, written before the project starts, shows where each document goes.
How fast can we start?
A first agent usually runs in four to eight weeks, on a scope and price fixed before we start. The free 30-minute assessment tells you which task pays off first in your firm.
