A custom CRM that follows the way you actually sell.
Your team fills in a CRM designed for someone else’s sales cycle, then keeps the real pipeline in a spreadsheet. We build the CRM around your stages and your quotes, connect it to your ERP and your inbox, and let AI prepare the follow-ups your salespeople approve.
Today
- Fields nobody fills in, and the real pipeline in a spreadsheet
- Quotes built in another tool, then copied back
- Follow-ups that depend on someone’s memory
- A license bill that grows with every new user
With your own CRM
- Your stages and your vocabulary on every screen
- Quotes built inside the deal, from the ERP prices
- Follow-ups drafted by AI, sent after approval
- Code and customer data that belong to you
What is a custom CRM?
A custom CRM is customer relationship software built for one company’s sales process: its stages, its fields, its quoting rules and the systems it must talk to. The CRM is shaped around how your team sells, connects to your ERP and inbox, and belongs to you once delivered.
Standard CRMs are very good at standard sales. The trouble starts with long B2B cycles, quotes that depend on technical rules, field sales, or a mix of distributors and direct customers. Teams then work around the tool, and the data in it stops being true.
A custom CRM does not have to start from zero. It can take over the data of your current CRM, keep what works and add AI where it saves time, such as summarizing a call or updating a deal from an email. The salesperson approves before anything is sent.
How your own CRM replaces the old one.
Before any build
Follow real deals from start to finish
We sit with your salespeople on real deals, list what the current tool forces them to work around, and fix the scope and the price in writing.
First release
Your pipeline first
Pipeline, accounts and quotes come first, tried by one team on a test environment before anyone else.
Before the switch
Data taken over
Contacts, accounts and history imported from the current CRM or spreadsheets, deduplicated and checked with the team.
After the switch
AI where it saves time
Once the team trusts the data, AI features come in one at a time, measured on your own deals.
What a CRM built for your sales could change.
Three scenarios, shown as such and drawn from common sales setups: where a standard CRM stops fitting, and what we build instead.
The quote that depends on technical rules
BeforeSalespeople price in a spreadsheet, then copy the result into the CRM.
AfterQuotes built inside the deal from the ERP price list and your rules, with margin checks before they go out.
The field sales team
BeforeVisit notes typed on Friday evening, when they get typed at all.
AfterA voice memo after each visit becomes a structured note on the account, checked by the salesperson.
The inbox that holds the real pipeline
BeforeCustomer emails sit in personal inboxes, and deals move without the CRM knowing.
AfterEmails matched to accounts and stage changes suggested from the conversation, applied once a person agrees.
Custom CRM or a configured standard CRM: which one fits your sales?
If a configured standard CRM covers your sales, it is usually the cheaper choice, and we will say so. The comparison below shows where the line falls.
| Criterion | Custom CRM | Standard CRM, configured | Spreadsheet |
|---|---|---|---|
| Your stages and fields | Built around them | Custom fields and pipelines, within limits | Anything, with no rules |
| Quotes and pricing rules | Your rules, from your ERP prices | Add-ons or integrations | By hand |
| Connects to ERP and email | Built in, both ways | Connectors, sometimes paid | Copy and paste |
| AI | On your data, with approval | The vendor’s AI features | None |
| How costs grow | Build, then hosting and upkeep | Per user, per month | No license, time spent by hand |
| Best for | A sales process that sets you apart | A standard B2B or B2C cycle | A very small team starting out |
Your customer file stays yours.
Security and dataYou own the code and the data.
Repository, database and documentation are handed over, and the customer file can be exported at any time in standard formats.
GDPR rules written into the software.
Legal basis stored per contact, retention periods applied, access and deletion requests handled from one screen.
Rights by role.
Each salesperson sees their accounts, managers see their team, and every change is traced.
Nothing sent without a person.
AI drafts the follow-up or the update. The salesperson reads it and decides.
Data in Europe when you need it.
EU hosting and encrypted data, for customers who ask where their information lives.
What the price of a custom CRM depends on.
Two things weigh on a custom CRM budget: the quoting rules to encode and the systems it must talk to. A pipeline for one sales team needs little of either; a CRM that prices technical quotes for field reps and syncs with the ERP needs both. The budget is fixed in writing before the build.

- 03The data to take over from the current CRM or files.
- 04The connections: ERP, email, telephony, e-signature.
- 05The AI features, and the volume they handle.
- 06Mobile use for field sales.
Custom CRM: the questions buyers ask us
Is a custom CRM better than Salesforce or HubSpot?
Not for everyone. When your sales cycle fits a standard CRM, configuring it is usually faster and cheaper. A custom CRM pays off when your quotes, stages or channels are specific, or when license costs keep climbing with every user you add.
Can you migrate our data from our current CRM?
Yes. Contacts, accounts, deals and history are exported, cleaned, deduplicated and imported, then checked with your team before the switch. The old CRM can stay available in read-only mode for a while.
Can the CRM connect to our ERP?
Yes. Prices, stock and customer accounts are read from the ERP, and a signed quote can create the order there directly, so nobody types it twice. Salespeople also see open orders and unpaid invoices before they call a customer.
What does CRM automation cover?
Reminders, assignment rules, stage changes and follow-up sequences are part of the build. AI adds the drafting: a follow-up email, a call summary, a deal update from a message. A person approves before anything leaves.
Who owns the customer data?
You do, along with the code. The customer file can be exported at any time in standard formats, and the documentation lets another team take over the software if you ever decide to change providers.
How does a custom CRM handle GDPR?
It is designed for it: legal basis and consent stored per contact, retention periods applied automatically, access and deletion requests handled from one screen. Your data protection officer keeps the final word on your policies.
